Clarify the intended use
Someone asking about a product may not intend to use it themselves. They could be looking for a distribution relationship, integrating it into another offer or supporting several customers. Ask early how they expect to use the product. An open question gives more clarity than prematurely assigning them to a fixed visitor category.
Listen to the scope of the request. A particular installation, required quantity or technical condition often points towards an application. Questions about territory, support and joint marketing suggest a working relationship. These clues are useful, but they do not replace an explicit question about the person's purpose.
Choose the relevant conversation
For a product enquiry, focus on operating conditions, variants and the next technical or commercial step. Record what is still missing before you can provide a reliable answer. A price without a defined scope can create more confusion than a brief question about the required version and intended use.
For a partnership enquiry, first explore the business, its customers and the role expected from each side. An initial exhibition meeting does not have to negotiate terms immediately. Arrange a deeper discussion with the responsible colleague instead. Do not promise exclusivity or special conditions when you lack the authority to do so.
Hand over mixed requests clearly
Some visitors bring both subjects. Record them separately so a technical response cannot accidentally be interpreted as a partnership commitment. Describe the next step for each strand. One colleague can then handle a product trial while another assesses the possible commercial relationship.
Tell the visitor who will respond on each point. Two disconnected messages from the same company can otherwise seem poorly coordinated. A short shared summary makes responsibilities visible. If subsequent checks show that the request is not a fit, communicate that clearly rather than passing it indefinitely between departments without an explanation or decision.
