Start with the rate you booked

Open the confirmation for your actual reservation rather than relying on a general description of the hotel. Different offers for the same room can have different conditions. Find the last time for changing or cancelling and the charges stated after that point. Also check whether changes to occupancy or length of stay are treated separately. This article does not interpret unclear contractual terms; ask the booking provider to clarify anything ambiguous.

Record the date and time together

Put the deadline in your calendar with its time and the stated time zone. If the information is not clear, ask rather than making your own assumption. Set an earlier reminder so you can still reach an internal decision. A reminder at the exact deadline leaves little space for questions or a failed connection. Also save the confirmation somewhere that does not depend entirely on one app on a single device.

Separate the decision from the action

Agree within your team who decides whether the trip proceeds and who can actually change the reservation. An internal message cancelling the trip does not cancel a room. Equally, opening a cancellation screen does not prove the process has finished. Use the route specified for your booking and then check the provider's confirmation. Keep its reference and timestamp with the original documents without circulating unnecessary copies of personal information.

Check again after any change

Following an amendment, compare the new dates, price and applicable conditions. The original deadline may not remain unchanged. Update your calendar and mark older confirmations as superseded. If several rooms were booked, check each reservation separately. One successfully cancelled booking tells you nothing about a second reservation, even when both relate to the same exhibition visit and were discussed in the same email conversation.
